Position Overview:
The Administrative Assistant plays a crucial role in ensuring smooth operations within our team by providing comprehensive support to clients and internal staff. This position involves handling a variety of administrative tasks, maintaining professional communication, and assisting with client service and investment transactions. The ideal candidate will be detail-oriented, organized, and capable of managing multiple responsibilities while maintaining strict confidentiality.

Key Responsibilities:
  • May be required to Answer phones and direct calls to the appropriate party
  • May be required to Greet clients, offering to situate them comfortably in preparation for meetings with their advisor or client service associate
  • Maintain polite and professional communication via phone, e-mail, and mail
  • Maintain up-to-date client contact information in CRM program and maintain other business logs
  • Prepare clients’ 1031 exchange, real estate, and other investment purchase paperwork
  • Coordinate 1031 closings with title, exchange accommodators and investment sponsors
  • Monitor transactions and assist as needed to ensure timely investments
  • Provide ongoing client service support for real estate and other client investments
  • Provide support for investment transactions and client communications, including onboarding of new clients and other relationship-building opportunities
  • Aid client service team as needed
  • Maintain strict confidentiality of all client and firm business
  • Perform other related duties as required

 Qualifications:
  • Associates degree or higher preferred, or 5 years of related experience
  • Excellent verbal and written communication skills
  • Passion for providing an unbelievable client experience
  • Professional and courteous demeanor
  • Detail oriented and well-organized
  • Ability to multi-task
  • Strong computer skills, with experience in Office 365 suite
  • Adherence to firm’s Privacy Policy, Client Confidentiality, and Code of Ethics, as well as regulatory policies and procedures
  • Willingness to attain securities licensing under the sponsorship of employer
  • A “can do” attitude and willingness to wear many hats within an office environment
